Your message content.

The SendFree autoresponder is an automated email address. When a prospect sends an email to your SendFree autoresponder (yourchoice@sendfree.com) or fills out your SendFree web form at your site, your autoresponder will immediately reply back to the prospect with a pre-composed email message. Therefore, to set-up your SendFree autoresponder you first need to create the message your autoresponder will send back to prospects.

For example, you could have people send email to your SendFree autoresponder or fill our your SendFree web form to obtain a free report, subscribe to a newsletter, ask a question or request a product update.

You’ll need a short 60 character or less subject line for your email message. Your subject can be as simple as – " Here’s the Information " to a more specific review of what’s in the message such as: " Hi John Doe Here’s Your Report On Buying a Used Car " .

You also need to enter the message you want your autoresponder to send out. Your message can be as long or as short as you want.

You can either type out your message in the text body box or you can copy and paste your autoresponder message into the form box. Copy and paste simply means you will move the text from another program into the text body box without having to re-type the text.

Formatting your message.

There are no limits on the length of your autoresponder's messages.

Your text messages when entered into the text message box in your account will be formatted to a 65 characters across line. Lines longer than 65 characters will automatically be wrapped to 65 characters. So, be sure to double-check the formatting of your text messages.

Personalizing your message.

You can personalize your autoresponder's messages and/or subject line by including your prospect's name and/or email in the response she receives. To personalize a message or subject line include the appropriate code in the place you would like your prospect's information entered.

The codes are as follows:

[[firstname]] will include your prospect's first name.
(i.e. 'Hi [[firstname]]' will be 'Hi Pamela!', if your prospect's first name is Pamela).
[[name]] will include your prospect's full name.
(i.e. 'Hi [[name]]' will be ' Hi Pamela Anderson', if your prospect's name is Pamela Anderson).
[[email]] will include your prospect's e-mail address.
(i.e. 'Your e-mail address is [[email]]' will be 'Your e-mail address is pamela_anderson@hotmail.com', if your prospect's e-mail address is pamela_anderson@hotmail.com .

Adding Links to Your Messages.

To create links in your text email messages you just need to list out the URL and email address correctly. Most email programs, Outlook, Netscape, Eudora Pro and Web based readers like Yahoo, will then automatically link up your contact information.

You should list out your URL with - http:// and your email with - mailto:

For example a URL should look like, http://www.sendfree.com and an email should look like, mailto:info@sendfree.com .

Adding AOL Links to Your Messages.

As a free SendFree member if a lot of the individuals who request your autoresponder are AOL users you might want to input into your message the needed href tag to create a hyper link for the AOL email program.

With SendFree's Preferred service your autoresponder will automatically put in AOL links for you when delivering your messages to your AOL prospects. SendFree's preferred service autoresponders are designed with an email detector to determine if a prospect has an AOL email address. When the detector finds a prospect with an AOL email address, it tells your SendFree autoresponder to reply back with your text message and insert AOL hyper links for your URL and email address.

SendFree's Preferred service automatically links up any URL which is listed with - http:// and any email which is listed with - mailto:

Thus to have to ensure your URL is automatically linked it should look like, http://www.sendfree.com and your email should look like, mailto:info@sendfree.com .

Editing Your Autoresponders

Adding and deleting follow up messages.

From your Account Headquarters select in the drop down menu the autoresponder to which you would like to add or delete follow-ups. Click on the "Edit Messages" button next to your autoresponder's name. You will be redirected to the "Reply Manager" section of your account for that autoresponder.

Your autoresponder's follow up messages will be listed. A preferred service member can have as many follow ups messages as you require. With a Basic Free SendFree account you can add in 12 follow-ups.

To add in a new follow up message click the "ADD" link at the bottom of the "Message" column. You will be prompted to enter the subject line, body and time frame for the new message.

When you add in a new follow up message all prospects who have not yet reached the specified time frame from their initial inquiry will be sent the new follow up message. For example, let's say you add in a 4th message and enter the time frame as 10. All prospects who requested your autoresponder less than 10 days ago will receive the new follow up message exactly 10 days from the time they initially requested your autoresponder.

To delete a follow up message again access the "Reply Manager" section of your account. Next choose the message to be eliminated and click the corresponding "Remove" link for that message. On the following screen confirm that you would like to delete the follow up message by clicking the "Yes" button.

When you delete a follow up message it will no longer be sent out to prospects.

Changing the copy your messages.

From your Account Headquarters select in the drop down menu the autoresponder whose messages you want to edit. Then click on the "Edit Messages" button next to your autoresponder's name. You will be redirected to the "Reply Manager" section of your account for that autoresponder. Your autoresponder's follow up messages will be listed.

To edit the subject and/or body copy of a message simply select the message you would like to update and click "Edit" next to the message. Make your changes to the message and click to "Submit Information".

When you edit a follow up message all prospects who have not yet received that message will be sent the modified follow up message.

Changing the time frame of your follow up messages.

From your Account Headquarters select in the drop down menu the autoresponder whose messages you want to edit. Click on the "Edit Messages" button next to your autoresponder's name. You will be redirected to the "Reply Manager" section of your account for that autoresponder. Your autoresponder's follow up messages will be listed.

To change the follow up time frame for a message, simply select the message you would like to update and click "Edit" next to the message.

There is a small box listed with your message which is labeled "Time Frame" and it contains a number. This number signifies the number of days after your prospect's initial inquiry that you would like that specific follow up message delivered. You can set the time frame number to be anywhere from 1 - 365 days.

You'll note the first message has its time frame set at 0 . A zero indicates to the SendFree system to send out that message immediately upon a request. A message which has a "4" as its time frame number, will be delivered four days after the prospect has emailed your autoresponder or filled out your web form.

You can change the order that your follow up messages are sent by simply changing the "Time Frame" number. Once you make a change be sure to click the "Submit Information" button. Keep in mind you can only have one message sent per day. Therefore each message must have a different number in its corresponding time frame box.

Changing the "From" name and Email address of your autoresponders

From your Account Headquarters select in the drop down menu the autoresponder whose messages you want to edit. Click on the "Edit Messages" button next to your autoresponder's name.

On the following screen, click on the left hand grey menu option "Basic Info". A page will load showing you the "From" name and "From" email address currently listed for the autoresponder.

Make your updates in the copy boxes and save the updates by clicking the "Submit Information" button.

HTML and File Attachments

Sending HTML messages.

With SendFree's Premium service your autoresponder can deliver HTML formatted messages to your prospects. SendFree's premium service autoresponders are designed with an email detector to determine if a prospect can read HTML email. When the detector finds that a prospect can read HTML email, it will tell your SendFree autoresponder to reply back with an HTML formatted message if you have an HTML message entered in your account. If you do not have an HTML message entered in your account, your SendFree autoresponder will simply send out the text version of your message in an HTML format.

If the detector finds a prospect can not read HTML email, it will tell your SendFree account to send out the text version of your message. Therefore you can have both a text version as well as an HTML version of your messages in your account for prospects.

If you would like to add an HTML version of your message to an existing autoresponder, from your Account Headquarters select in the drop down menu the autoresponder whose messages you would like to include an HTML version. Click on the "Edit Messages" button next to your autoresponder's name.

You will be redirected to the "Reply Manager" section of your account for that autoresponder. Your autoresponder's follow up messages will be listed.

To enter an HTML version of your message simply select the message you would like to add in the HTML version for and click "Edit" next to the message. On the autoresponder content page, beneath the initial text copy box, you will see a second copy box labeled, HTML message. Simply enter your HTML message into the box.

To have an HTML message sent out with a new autoresponder, from your Account Headquarters click on the "Add/Delete Autoresponder" option from the top grey menu bar. Choose to create a new autoresponder. Then select a name for your autoresponder, enter a "From name and email address" and click "Next". On the Autoresponder Content page you'll see two copy boxes.

The top copy box is for the text version of your reply message. The bottom copy box is for the HTML version of your reply message. After inputting a text and HTML version of your message in the boxes provided, click to either add in a follow up message or "Next" to complete the classification and set-up of your autoresponder.

Creating HTML messages for your autoresponder.

An HTML message has HTML tags included within the message so that your message will contain special formatting, bold lettering, colors and graphics within its layout.

If you are not familiar with creating documents using HTML you may not want to use this feature.

What you do when you create an HTML email message is write your message as a web page and then input the source (raw HTML) into the HTML message box.

Programs such as MS Outlook, MS word and web page creation programs can all assist you in creating an HTML messages. Once you have created the message, save it as an .html file. Next view the source of the saved HTML file, by opening the document with an editor such as Notepad. Now, copy the source code of your message into the HTML message box.

Once you have entered your message, you should click the "Test HTML" button to check your message and make sure it appears as you intended.

Make sure the HTML message you enter into the HTML body box does not include any of the following tags: <body> </body> <html> </html> <head> </head>.

Attaching a file to an autoresponder message.

With SendFree's Preferred service your autoresponder can deliver attached files to your prospects. To attach a file to your autoresponder's reply message, from your Account Headquarters select in the drop down menu the autoresponder whose messages you would like to attach a file. Click on the "Edit Messages" button next to your autoresponder's name.

You will be redirected to the "Reply Manager" section of your account for that autoresponder. Your autoresponder's follow up messages will be listed.

To add a file attachment to a follow up message simply select the message you would like the file attachment included with and click "Edit" next to the message. On the bottom of the "Edit" page you'll see the "Attachment" field.

Click on the "Browse" button and select from your computer's hard drive the file you would like attached to your autoresponder. To select a file simply click on the file with your cursor in the open window. Once selected it will appear in the "File name" field. Next click "Open" and the file will be uploaded to the SendFree server for distribution with your autoresponder's message.

Finally, remember to save the change to your message by clicking the "Submit" button on the bottom of the page.

To have a file attachment sent out with a new autoresponder, from your Account Headquarters click on the "Add/Delete Autoresponder" option from the top grey menu bar. Choose to create a new autoresponder. Then select a name for your autoresponder, enter a "From name and email address" and click "Next". On the Autoresponder Content page you'll see at the bottom of the page an "Attachment" field.

To add an attachment click on the "Browse" button and select from your computer's hard drive the file you would like attached to your autoresponder. To select a file simply click on the file with your cursor in the open window. Once selected it will appear in the "File name" field. Next click "Open" and the file will be uploaded to the SendFree server for distribution with your autoresponder's message.

Once the file is uploaded, be sure you've entered a "Subject" line and message to be sent with your file. Then click "Next" or "Add Followup" to complete the set-up and classification of your autoresponder.

Testing & Duplicating Autoresponders

Testing your autoresponders to check your messages.

You have 2 options for testing your autoresponder. To do a quick autoresponder check simply send an email to your SendFree autoresponder. Your autoresponder will immediately reply back with your initial message. In the coming days your follow-up messages will be sent out as you programmed.

If you would like to check all of your autoresponder's messages without waiting several days for the time sequence to send out your follow ups you can do so from within your Account Headquarters.

From your Account Headquarters select in the drop down menu the autoresponder whose messages you want to test. Click on the "Edit Messages" button next to your autoresponder's name. You will be redirected to the "Reply Manager" section of your account for that autoresponder. Your autoresponder's follow up messages will be listed.

Click on the "Test" link for the message you wish to have sent to you. A form will appear asking you to enter your name and email address. In addition, a drop down menu will be available listing out your follow up messages. You can select to have a single message emailed to you or all of your follow-up messages. Once you've made your choice, click the "Send" button.

The message(s) you selected will be sent to you immediately. Currently, you can only test the text version of your message.

Duplicating (cloning) an autoresponder.

The duplicate autoresponder feature will create a duplicate of an autoresponder you've already created, under a new autoresponder name. You can create multiple autoresponders which all contain the same follow up messages and time sequence.

The "Duplicate Autoresponder" function makes tracking your ad campaigns a snap. For each campaign you run, simply create a duplicate autoresponder. You can easily see in from within your Account Headquarters how many requests each duplicate autoresponder generates.

To create a "Duplicate Autoresponder" from the top grey menu bar in your Account Headquarters select the "Add/Delete Autoresponder" option. Then choose to create a new autoresponder.

Enter in the name for your new autoresponder and from the drop down menu select the autoresponder you would like to duplicate. Do not change the "From" name or "From" address and Click "Next".

A brand new autoresponder is created that is an exact duplicate of your previous autoresponder. The subject lines, autoresponder messages and time frames will all be the same.
